Team and maintenance

When you are short of people, or of someone to take responsibility for a system: we strengthen your team for the duration of a project, or take over maintenance and hand the knowledge over at the end.

Scopes

Scopes of this service

  1. Dedicated teams

A whole team with a lead that works only on your project, reports to the board on a fixed schedule and leaves with you everything needed to run the system.

    See the scope
  2. Skills augmentation

One missing role in your project filled by a person from our team, chosen in conversation with your people, working under your manager, with a replacement when needed.

    See the scope
  3. Taking over maintenance

A system built by someone else under ongoing care: reviewed before takeover, with a list of gaps, a plan for the first clean-up and a single queue for requests.

    See the scope
  4. Knowledge transfer

The system, its access and the knowledge of it in your people's hands, tested so that your team releases a new version and fixes a failure on its own, without calling the contractor.

Situations

What clients come to us with

The project has a budget and a deadline, but not the people

The management board has approved the budget and the deadline, but the IT department has no one to put on the project alongside day-to-day work. Recruitment takes months, and the deadline does not move.

Only one person knows the system

The system that sales or billing depend on is known to one person, or to a contractor whose contract has expired. A failure means days of downtime and a cost that cannot be planned.

The implementation is over, the system remains

The new system has gone live, and the implementation team has left. What remains are user requests, fixes and the question of who is responsible for the system from tomorrow.

Scope

What we do

  1. Engineers in your team

Your project gets people from our team for the period set out in the contract: they work in your process and tools and report to your manager. The result is the part of the system you ordered, and the code and documentation stay with you.

  2. Skills augmentation

When one role is missing, for example an architect or a specialist in integration, data or cloud, we agree who from our team will take it on and for how long. The result is a part of the system or a design decision your team would not have had time for.

  3. Taking over maintenance

We take over a system that is already running: we check the documentation, code, servers and access rights, list what is missing, and agree the rules for requests and priorities. The result is a maintenance plan with a list of risks and a named person responsible on our side.

  4. Knowledge transfer

We pass knowledge on to your staff throughout the engagement: documentation, handling requests together, reviews of how the system is built. After that, your team runs the system without us.

Technologies and standards: We work in the client's tools, most often Jira and Azure, with CI/CD, network telemetry and infrastructure monitoring.

Outcome

What you get

  • The team composition with scope of responsibility and period of availability
  • The part of the system you ordered, with the code and documentation kept by you
  • A takeover report: the state of the code, servers and access rights, and a list of risks
  • A maintenance plan: rules for requests, priorities, service levels (SLA) agreed in the contract, the person responsible for the system
  • Documentation completed after the takeover and a written knowledge handover

Process

How the work proceeds

  1. We agree the scope and the team

You describe what is missing: people, one skill, or someone to take responsibility for maintenance. Before taking over a system we carry out an analysis under an NDA, with a fixed scope and deadline. Result: an offer with the team composition, scope of responsibility, schedule and price.

  2. We join the project

People from our team receive access, learn the process and the code, and take on their first tasks alongside your staff. Result: work moves at your team's pace, and you see progress in your own tools.

  3. We run maintenance and development

We handle requests according to the agreed priorities, check every change before it reaches the live system and report on the work at regular intervals. Result: the system works, and the scope and billing rules are set out in the contract.

  4. We hand over the knowledge

We finish with documentation, a joint review and a period in which your staff run the system while we answer questions. Result: the system, and the knowledge of how to run it, stay with you.

Regulations

Regulations and scope limits

If your organisation is subject to the Polish National Cybersecurity System Act (KSC) or runs an information security management system, before the start we check which requirements cover an external team: the contract, access rights, change records, incident handling. Contract clauses that require it are checked by the law firm we work with.

What we don't do

  • A security operations centre (SOC) and penetration testing.
  • Taking over maintenance without analysing the system and without a handover period.

How we start

  1. A conversation about the problem

You describe the process or system that no longer keeps up and what has to change. The conversation costs nothing.

  2. Analysis under an NDA

We examine the process and the systems and hand over a recommendation with a scope of work. You know the scope, deadline and price of the analysis before it starts.

  3. Offer

You receive the scope, team, schedule and price of the implementation. You decide whether we go ahead.

The cost of the analysis is credited towards the implementation if you order it.
